Guide
Know which admade the phone ring, and what the call turned into.
Automotive call tracking gives each campaign, listing and lot sign its own phone number that forwards to your store, so every call is tagged with its source. Done properly, someone also listens to the calls and logs the outcome: appointment set, showed, sold, or missed. That lets you judge each source on appointments and cars sold, not just on how often the phone rang.
A number for every source, a habit of listening, and a scorecard built on appointments that show.

01The mechanics
How automotive call tracking works
Three moving parts, and none of them changes who answers your phone.
- 01
A number for every source
Offline sources that never change get a static tracking number, one each: a mailer drop, a radio flight, a lot sign, a window sticker. Your website works differently. Dynamic number insertion (DNI) changes the number shown based on how the visitor arrived, so a website call is credited to the channel that sent the visitor.
- 02
Calls still reach your store
The tracking number forwards to your existing sales or BDC line, and the caller never knows the difference. The platform logs the source, the time, the length of the call and the caller ID. It records the call too, if you switch recording on. Read the consent section below before you do.
- 03
Google Ads has its own version
Google Ads can show dynamically generated Google forwarding numbers on your site, at no cost, and report which keywords, ads and campaigns led to calls. It counts a call as a conversion only when the call lasts longer than a minimum length you set, so quick hang-ups and wrong numbers do not get counted as wins.
Tracking tells you where a call came from. Only listening and logging tell you whether it was worth anything. If paid search is a big line in your budget, the calls belong in the same report as the clicks, and our guide to car dealer PPC shows how to judge Google Ads on appointments. The forwarding numbers and the minimum call length come from Google's help page onwebsite call conversions(checked 8 October 2026).
02The map
Which number goes where
Call tracking for car dealerships breaks the moment two sources share a number. Give every place your number appears its own row.
Marketplace and paid Facebook behave differently, as our guides toFacebook Marketplace for car dealersand Facebook ads for car dealersexplain, so they need separate numbers. Everyautomotive direct mail drop needs its own number for the same reason. For the Google Business Profile row, start with Google'sBusiness Profile guidelines(checked 8 October 2026).
03The habit
Listen to the calls, then log what happened
A tagged call tells you the source. These two habits tell you what the call was worth.
- 01
Outcome codes for every sales call
A short, fixed list that the BDC agent or salesperson picks from in the CRM before taking the next call.
Appointment set, with the date and time recorded. No appointment, follow-up task created.Price or availability question only, no contact info taken. Missed or voicemail, callback owed.Service, parts or wrong department.Vendor or spam. An existing customer shopping again is a sales call: code it like one, on their existing CRM record.
The codes work best as required fields, and when there are few of them, like the six above. A long menu invites guessing.
- 02
The weekly 10-call review
Each week the GM or BDC manager pulls 10 recorded sales calls in total, spread across the major sources, and checks five things.
Did a person answer? Was the vehicle confirmed in stock? Were the caller's name and number captured? Was an appointment offered with two specific times? Did the call end with a next step?
Score each one yes or no. Skip star ratings: a three-star call tells nobody what to fix.
Put the codes in the CRM, not only in the tracking platform, and set the lead source on that record to the tracking source. That way, when the appointment shows or the car sells later, it counts toward the source that produced the call, and the outcome sits on the same record as the buyer. Our guides todealership CRM management andautomotive lead managementcover keeping that record clean.
Match caller ID against the CRM as well. A repeat caller should land on their existing record, not get counted as a new lead.
For the standard the review measures against, use ourcar sales phone scripts and the BDC best practices guide. Ten calls a week is small enough that the review actually happens, and enough to show whether the same miss keeps coming up. Rotate the sources so each one gets heard regularly.
04The scorecard
Judge phone leads on appointments, not call counts
An illustrative month, made up to show the math. These figures are not benchmarks, and your own will look different.
The number to run for every source is cost per appointment shown: source spend divided by appointments shown. In the illustrative month above, the listing sites cost $25 a call and the mailer cost $60, so on cost per call the mailer looks like the one to cut. On cost per appointment shown it is the other way around: $3,000 divided by 5 is $600 for the listing sites, and $2,400 divided by 8 is $300 for the mailer. Judge a source on cost per call and you can cut the wrong one. The listing-site calls in this example look like the price-and-hang-up kind: plenty of rings, few visits. Before you accept that, check the answered row: in the same illustrative month, 30 of the 120 listing-site calls went unanswered, against 4 of the 40 mailer calls.
The first-time callers row matters too. In this illustrative month, 70 of the listing sites' 120 calls came from first-time callers. The other 50 were repeat callers, including people calling back about the same car, so counting every call as a new lead makes the source look bigger than it is. The mailer's gap is small: 34 of its 40 calls were first-time callers.
Why answered gets its own row
A source can look weak only because its calls land after hours or on a busy Saturday, when nobody is free to pick up. Check the answered row before you cut anything. If the gap is coverage, fix the coverage before you blame the source. Our guides to theafter hours BDC and theautomotive call centerquestion walk through the options for evenings, weekends and overflow.
Phone leads and web leads should be judged on the same number: appointments shown.
That is the number our appointment setting work reports, and it is the fair way to compare a phone source against the automotive leadsthat arrive through forms and chat.
05The law
Call recording and consent: what the law says
Recording is what makes the weekly review possible, so settle this before you switch it on.
The federal baseline is one-party consent
Under 18 U.S.C. 2511(2)(d)(checked 8 October 2026), it is not unlawful for a person who is not acting under color of law to intercept a wire, oral or electronic communication where that person is a party to it, or where one of the parties has given prior consent. The same paragraph takes that protection away if the communication is intercepted to commit a criminal or tortious act. That is what people mean by one-party consent.
Some states require every party to consent
Maryland is one. Under the Maryland Code, Courts and Judicial Proceedings10-402(c)(3)(checked 8 October 2026), interception is lawful where the person is a party to the communication and all parties have given prior consent.
Your callers are not all in your state
A dealership in a one-party state still takes calls from buyers in other states. Which state's law governs a given call, and whether a recording notice at the start of each call is the right answer, are questions for your attorney. Do not assume a notice settles the question everywhere.
This is not legal advice. Before you switch recording on, have your attorney confirm whether you need a notice, its wording, and how long you keep recordings.
06The rollout
Set it up in five steps
A plan you can start on Monday, with one job per step.
- Step 1: find every number. List every place your phone number appears today: website header and footer, Google Business Profile, listing sites, Facebook, Marketplace posts, mailers, signage, email signatures, and the numbers your salespeople give out.
- Step 2: assign numbers. Use the table above to give each source its number. Document which number lives where in a shared sheet that the GM, the BDC manager and whoever buys media can all see.
- Step 3: install and test. If your website provider controls the site code, the DNI script is their job, so open that request first. For ad visitors, pick one system to swap the number, Google's forwarding numbers or your DNI platform, not both. Turn on Google Ads call conversions with a minimum call length, and test-call every number from a cell phone. Check that each one reaches the right line and shows the right source. Leave recording off until your attorney has signed off on it.
- Step 4: set up the CRM. Add the outcome codes as required fields and decide who listens each week. Name a person, not a department.
- Step 5: run the first review. Once your attorney has signed off and recording is on, wait until each major source has calls to hear, then pull the first ten, score them, and put a weekly scorecard meeting on the calendar. Until then, check the CRM every Friday for calls left without an outcome code.
Tracking shows which sources make the phone ring. Turning inquiries into booked appointments is a separate job, and it is the one we do. The calls coded "no appointment" or "callback owed" are leads your team still has to follow up, the same as a web inquiry. tad'sautomotive BDC andappointment setting team works the web inquiries in the CRM you already use: following up on each one within minutes, qualifying the buyer, then booking and confirming the appointment in your calendar. If you want more inquiries to work, our lead generation builds inquiries for your dealership alone, so they are not resold to other stores.

Common questions
Ask us anything else on a free call. No obligation.
It is a measurement layer that sits in front of the phone line you already have. Call tracking for car dealerships does not change who answers or how they answer. Calls still reach your sales desk or BDC. What it adds is a source tag on every call. What it cannot add is the result: the platform knows how long a call lasted, not whether the caller booked. That comes from the outcome your staff log in the CRM, which is why tracking without logging only tells you which ads keep the phone busy.
A tracking platform gives you phone numbers that forward to your real line. Offline sources get a fixed number each, and your website swaps its number based on how the visitor arrived. When someone dials, the call connects to your store as normal, and the platform files it under whichever source owns that number. Any place still showing your plain main number stays out of the report, which is why setup starts by finding every place your number appears.
Four ways. You can cut spend on sources that keep the phone busy but never put a buyer in a chair. You find answering gaps, such as Saturday calls that roll to voicemail. You get real calls to coach from, instead of a salesperson's memory of them. And caller ID matched against the CRM shows when a new phone lead is really a customer you already have, which keeps lead counts honest.
Federal law sets a one-party baseline. Under 18 U.S.C. 2511(2)(d) (checked 8 October 2026), it is not unlawful for a private person who is a party to a call, or who has one party's prior consent, to intercept it, unless the purpose is a criminal or tortious act. Some states require every party to consent, and Maryland is one (Md. Code, Courts and Judicial Proceedings 10-402). The statutes are linked, with the date checked, in the consent section of this page. This is not legal advice. Have your attorney approve your setup before recording starts.
Dynamic number insertion, or DNI, is a script on your website that changes the phone number a visitor sees based on how they arrived. Someone who came from a Google ad sees one number, someone from organic search sees another, and someone from Facebook a third. When they call, the platform credits the channel that sent them, so website calls stop being lumped together as one anonymous source.
Set up website call conversions in Google Ads. Google can replace your website number with a dynamically generated forwarding number, at no cost, so you see which keywords, ads and campaigns lead to calls. It counts a call as a conversion only when it lasts longer than a minimum length you set (Google Ads Help, checked 8 October 2026). Pick a cutoff that drops hang-ups and wrong numbers, then use the weekly review to listen to a few calls just above and just below it and check the cutoff is sorting them correctly. Then log each outcome in the CRM, because a long call is not an appointment.
Go carefully. Google's Business Profile guidelines (checked 8 October 2026) say the number must be under your direct control, ask for a local number over a central call center line whenever possible, and prohibit numbers that redirect callers to numbers other than the business's own. Do not assume Google approves a tracking number as your main listing number. Read the current guidelines first, and note what you changed and when.
One for each offline source you want to measure on its own, plus a pool for the website. Each mailer drop, radio flight, listing site and sign type gets its own fixed number. The website pool scales with how many people are on the site at your busiest hour, so size it to that peak, not to an average day. Add numbers only for sources you will actually review.
