Automotive Call Center

An automotive call centermeasured onappointments shown

An automotive call center handles a dealership's inbound calls, web leads and text inquiries from outside the building. The difference that matters is what it is measured on. A generic call center counts calls answered. An automotive BDC counts appointments set and appointments that show up, and it works inside the dealership's own CRM.

Answering the phone is the easy part. Getting the caller onto your lot is the job.

01What gets handled

Six things an automotive call center should cover

Each one is a moment where a buyer is ready to talk, and each one is usually lost because nobody was free at that exact time.

  • 01

    Inbound sales calls

Buyers calling about a vehicle reach someone who can tell them whether it is still available and book a time to see it.

  • 02

    Web lead callbacks

Every form, chat and listing inquiry called within minutes, while the buyer still has the vehicle open on their screen.

  • 03

    Evening and weekend cover

The hours your leads actually arrive, which are rarely the hours your floor is quiet enough to answer them.

  • 04

    Text replies

Buyers who will not pick up an unknown number get a text instead, which many of them answer long before a call.

  • 05

    Appointment confirmations

A short call or text the day before, because a booked appointment that nobody confirms often turns into a no-show.

  • 06

    Missed call recovery

Calls that rang out or went to voicemail on a busy Saturday get a callback, instead of becoming a buyer who tried once.

02The difference

Call center or BDC?

Both answer the phone. Only one of them is judged on whether the caller turns up.

A generic call center is not a bad service. It is built for a different outcome, and dealerships notice the difference when they look at show rate. That is also why a BDC call center works inside your CRM rather than beside it.

03Before you choose

Eight questions to ask any provider

Put these to anyone you are considering, including us. A provider that cannot answer them clearly is telling you something.

  1. What are you measured on? If the answer is calls handled, you are buying a switchboard.
  2. Can we see our show rate every week? Not calls made. Appointments that arrived.
  3. Do you work inside our CRM? Or do you send a spreadsheet someone has to re-enter?
  4. How quickly is a new web lead contacted? Ask for the typical time, not the best case.
  5. Who covers evenings and weekends? Those are the hours buyers are free.
  6. Who writes the scripts, and can we change them? You should be able to see every one.
  7. Who owns the data and the call notes? It should be you, without having to ask.
  8. What happens if we stop? Know the notice period, and confirm you keep every record.

Questions

Common questions

Ask us anything else on a free call. No obligation.

  • An automotive call center handles phone calls, web leads and text inquiries for car dealerships from outside the building. The better ones work inside the dealership's CRM, answer questions on price and availability, and book appointments with the sales team. The weaker ones take messages. The difference shows up in how many booked appointments actually arrive.

  • A call center is measured on calls handled. A BDC, short for Business Development Center, is measured on appointments set and appointments that show up. A BDC knows the inventory, qualifies the buyer before booking, confirms the appointment the day before, and logs everything in the dealership's CRM. Plenty of providers describe themselves as both, so ask what they report on.

  • We agree the scope with each dealership before anything goes live. Most start with web and listing leads, where response speed decides the most sales, then add evening, weekend or overflow calls where that is where buyers are being missed. Whatever the mix, every contact gets the same treatment: a useful answer, the right questions, and an appointment with a real time attached.

  • Yes. Evenings and weekends are when a lot of inquiries actually arrive, and when in-house coverage is usually thinnest. A common setup is to use us for exactly those hours and keep your own team for the daytime, with both working in the same CRM so nothing falls between the two.

  • They work from your current inventory, so they can answer whether a vehicle is still available, what it is priced at, and what else on the lot is similar. Anything they cannot answer properly, such as a trade-in value or a finance decision, is passed to your team rather than guessed.

  • The common dealership platforms, including VinSolutions, DealerSocket, eLead, Dealertrack and ProMax. We work inside the system you already own, so your data and history stay yours and you keep full visibility of every note and outcome.

  • Pricing depends on your lead volume and the hours you want covered, so we set it on a call rather than publishing a rate card. We look at your current contact rate and show rate first, because those two numbers tell both of us whether the service is worth paying for.

  • Both, for different jobs. Automation handles instant replies, reminders and simple routing, especially after hours. People handle the conversations that decide a visit: a hesitant buyer, a finance question, someone comparing you with another dealership. We use automation for speed and people for the calls that matter.
